Known for delivering services to clients with stringent IT, security, and compliance requirements, the company needed to expand its Tokyo headquarters and launch a new office in Fukuoka to support regional growth.
mtc was selected to provide end-to-end technology services, including structured cabling, audiovisual systems, physical security, and IT infrastructure. With two projects running in parallel, mtc was tasked with delivering both on a compressed five-month schedule, from design through to handover.
Project Scope: Tokyo Expansion and Fukuoka New Office Launch
Tokyo Headquarters Expansion
The Tokyo office project involved:
- Expansion onto an additional full floor in the existing building
- 200+ new workstations
- 15 video conferencing rooms, each with standard global AV setup
- A centralized office-wide paging system
- Full deployment of access control and CCTV systems, following global IT and security policy
- Coordination with the appointed designer to ensure all hardware and finishes met branding and quality standards
Special care was taken to match existing infrastructure while upgrading it for improved reliability and user experience. mtc also assumed responsibility for resolving legacy issues with older AV systems, many of which had not functioned reliably since the original installation years earlier. All were brought back online and updated during the project window.
Fukuoka Office Opening
In parallel, mtc delivered a full build-out of a new two-floor office in central Fukuoka, the company’s first major regional location in Kyushu. The building presented numerous technical challenges:
- No reliable CAD drawings or digital floor plans
- Low dropped ceilings and shallow 50mm raised flooring
- Limited existing MEP (mechanical, electrical, plumbing) infrastructure
Despite these limitations, mtc designed and installed:
- Structured cabling and network racks
- 400+ seat capacity
- 15 meeting rooms with video conferencing, using the global AV standard
- Site-wide paging and announcement systems
- Card-based access control and IP CCTV coverage
Cable routing was especially challenging, requiring careful planning to avoid power conflicts and ceiling obstructions. Coordination with the MEP teams was vital to ensure sufficient cooling and power for the server room and AV gear.
Technology Solutions Delivered
- Logitech Rally video conferencing in all meeting rooms
- Biamp microphones and DSPs for larger meeting rooms
- Enterprise-grade structured cabling (CAT6), patch panels, and labeled documentation
- Wireless access points planned and validated via Ekahau site surveys
- Card access control systems with integration to the global security platform
- IP-based CCTV covering entrances, common areas, and IT spaces
- Paging systems with centralized management for announcements and emergency use
mtc coordinated all procurement, staging, installation, programming, and user acceptance testing.
Challenges: Compressed Schedule and Two-Site Parallel Delivery
Both projects ran simultaneously with overlapping design, procurement, and installation windows. To meet the tight five-month timeline, mtc accelerated design finalization, secured global stakeholder approvals, and carefully prioritized procurement based on lead times.
Internal coordination was also complex. The client’s global IT, AV, and security teams were located across multiple time zones, requiring clear documentation, bilingual communication, and flexible scheduling. mtc served as the Japan-based lead integrator, facilitating approvals and guiding local vendors on international expectations.
Legacy AV issues in Tokyo added further complexity. mtc was able to assess, troubleshoot, and bring older meeting rooms back to working condition—all while delivering the new floor to spec.
Results: Two Offices Delivered On Time and Fully Operational
Both the Tokyo and Fukuoka projects were delivered:
- On time, in accordance with the client’s relocation schedule
- Within budget, with no unplanned scope additions
- With zero punch items at handover
Systems were in full working order on the first day of operations, and internal staff required minimal support thanks to intuitive interfaces and consistent system layouts.
The Tokyo team gained additional capacity while benefiting from upgraded AV and supportable infrastructure. In Fukuoka, the new office became a launchpad for business operations in southern Japan, supported by modern IT and AV systems from day one.
