A global law firm undertook a complete renovation of its Tokyo headquarters to modernize both the physical workspace and the technology that supports it. The goal was to bring meeting spaces up to global standards, improve the quality and reliability of hybrid collaboration, and ensure that technology blended into the design of the space without overwhelming it.

The renovated office needed a complete rethink of its meeting room AV infrastructure, including video conferencing systems, audio solutions, and control interfaces, all tailored to meet the firm’s internal standards for user experience, security, and functionality.


Project Scope: AV and Meeting Room Technology Upgrades

The scope of mtc’s work included upgrades across a variety of meeting spaces:

  • Executive boardrooms
  • General-purpose meeting rooms
  • Multipurpose all-hands space

Each space required enterprise-grade AV systems that aligned with the firm’s global IT strategy, allowed for easy operation, and supported frequent hybrid meetings with international participants. mtc provided consulting, hardware selection, full installation, and system commissioning.


Enterprise Meeting Rooms with Cisco Webex Video Conferencing

All meeting rooms were equipped with Cisco Webex Room Series endpoints, giving users a consistent and high-quality experience across global offices. Cisco Webex was already part of the firm’s global conferencing environment, and mtc ensured smooth integration with minimal training required for staff.


Room Control and Scheduling Using Crestron Systems

Crestron Room Scheduling Panels were installed outside each meeting space and linked to the client’s booking system. These made it easy for staff to find and reserve rooms in real-time.
In more advanced spaces, a Crestron control processor was used to automate common actions like powering displays, adjusting lighting, or switching room modes, all without relying on dedicated support staff.


Hands-Free Audio with Shure Microflex Wireless and P300 DSP

For clear, professional-quality audio, mtc deployed Shure Microflex Wireless microphones in larger rooms. These work in tandem with Shure IntelliMix P300 digital signal processors, which handle echo cancellation, gain control, and audio mixing without user intervention. This combination ensured clean, consistent sound for both in-room and remote participants.


Clean User Interface with Integrated Room Control

To reduce clutter and simplify operation, mtc integrated the Crestron control functions directly into the Cisco Webex Room Navigator panels. This allowed users to control lighting, audio levels, and display modes from a single touch interface — no extra devices or confusing controls were needed.


Specialized Spaces: Boardroom AV and All-Hands Hybrid Collaboration

A movable partition allows the main boardroom to convert between one large meeting room and two smaller rooms. mtc designed the AV system to automatically adjust when the room is combined or divided, including microphone zoning, speaker output, and video conferencing layouts.


All-Hands Room for Hybrid Presentations and Town Halls

In the multipurpose room, mtc installed an adaptive, automated audio system that supports larger gatherings without manual tuning. Whether it’s an internal training session or a hybrid town hall meeting, the system adjusts dynamically for room usage and occupancy.
