A global biotechnology firm with a strong focus on antibody therapeutics expanded its Japan headquarters to accommodate growing teams and increased regional activity. The client’s scientific work requires a secure, high-performance workplace with reliable video conferencing, enterprise IT infrastructure, and physical security systems aligned with global compliance standards.

To support this growth, mtc was engaged to provide complete IT and AV integration for the expansion of the Tokyo office. The scope included designing and installing infrastructure across a new floor added to the existing headquarters. The project was part of a broader initiative to enhance productivity, connectivity, and security for the Japan team, while ensuring full alignment with global systems used across Europe and the US.


Project Scope: Expanding a High-Performance Office Environment

The expansion project increased overall office capacity by:

  • Adding 200+ new workstations
  • Construction of an additional server room with networking infrastructure
  • Building 15 new video conferencing meeting rooms
  • Extending the physical access control and CCTV systems

The entire expansion was planned to match the design, functionality, and user experience of the client’s existing office. To do this, mtc worked closely with the client’s Japan-based facilities team and global IT stakeholders. The AV and IT systems were designed to be secure, reliable, and easy to support – while remaining flexible for future changes.


Technology Systems Delivered by mtc

Meeting Room AV Integration with Crestron Flex

mtc installed Crestron Flex video conferencing systems across all 15 new meeting rooms. These rooms were pre-configured to support Microsoft Teams, Zoom, and direct HDMI input. Meeting participants can walk in, start a call, and present content with minimal setup time.

Each room was equipped with:

  • Table microphones and ceiling speakers
  • Integrated touchpanel for control and volume adjustment
  • Auto-wake features triggered by occupancy sensors and pre-set schedule

This setup ensures consistency across all meeting rooms and reduces the learning curve for internal users.


Structured Cabling and IT Infrastructure

The network backbone was expanded to cover the new floor, with:

  • High-speed CAT6A cabling
  • Centralized patch panel installation
  • Equipment racks and UPS support for redundant power
  • Secure Wi-Fi coverage using the client’s global-standard WAP configuration

mtc coordinated with the client’s international IT team to ensure IP ranges, switch configurations, and port assignments matched existing global standards.


Office Paging and Internal Audio System

To improve internal communication, mtc installed an office-wide paging system connected to key zones throughout the expansion area. This system supports general announcements, emergency alerts, and service messages.

The system was integrated with the AV rack and controlled via a wall-mounted interface in the reception area, allowing authorized staff to broadcast to one or multiple zones.


Security Integration: Access Control and CCTV

mtc expanded the building’s access control system using secure proximity card readers tied to the client’s global credentialing system. New entry and internal doors were equipped with:

  • Contactless badge readers
  • Electric strike locks
  • Motion sensors for automated relocking

Additionally, IP-based CCTV cameras were added to the expansion floor, including:

  • Coverage for main entry points
  • Server room security
  • General hallway monitoring

All video feeds were configured to stream to the central security management platform used across other global offices.


Challenges and Solutions: Aligning Local Execution with Global Standards

One of the key challenges in this project was aligning Japanese construction and vendor coordination with the client’s European technical requirements and workflows. mtc served as the bilingual project lead, handling communication with local contractors while keeping global stakeholders up to date with reporting, documentation, and technical alignment.

Another challenge was ensuring all hardware and cabling were installed on a compressed schedule to meet handover targets. mtc pre-ordered critical components, staged equipment, and conducted pre-configuration off-site to speed up on-site work and reduce risk.


Results: A Seamless Expansion with Fully Integrated Systems

The expansion floor was delivered on time, fully operational, and handed over with no punch list items outstanding. All systems were tested, documented, and signed off by both local and international teams.
